CAPSI COUNCIL POSITIONS (2007/08)
Senior Representative
The Senior Representative's main duties are to provide guidance to local council members, aid in the organization of local events and chair local council meetings weekly. Some of the more specific responsibilities the Senior Representative handles throughout the year are: organizing CAPSI Awareness Week, collaborate with the Alumni Society in organizing Career Avenues in Pharmacy, and coordinating registration & flights for students attending Pharmacy Development Week (PDW). On a local and national level, the Senior Representative represents UBC pharmacy students to pharmacy organizations and associations (eg. CAPSI National, Alumni Society, BC CSHP, and CPhA). Finally, the Senior Representative also coordinates with other student organizations to promote the interests of pharmacy students (eg working with PhUS VP PR to organize Pharmacist Awareness Week in the First Week of March).
Junior Representative
The Junior Representative's responsibilities include organizing CAPSI Symposia twice a year, organizing CAPSI Jeopardy, which occurs in 1st term, and also coordinating flights and registration for students attending Pharmacy Development Week (PDW) with the Senior Representative. Along with the Senior Representative, the Junior Representative represents UBC pharmacy students to pharmacy organizations and associations, and chairs local council meetings in the absence of the Senior Representative. The Junior representative is equivalent to the position of President elect. He/She will work closely with the Senior Representative to learn about CAPSI as an organization on both the local and National level. He or she will eventually be the Senior Representative if he/she is successful in getting garnering a vote of confidence in the CAPSI annual election.
CAPSI Treasurer
The role of CAPSI Treasurer involves various responsibilities. At the start of the council term, the treasurer must undergo an orientation session with the AMS Finance Commission office. During the school year, the treasurer is expected to keep a clear ledger outlining the club's account balance, as well as incoming and outgoing funds. Regular updates on CAPSI-UBC's financial status would also be relayed to the council at weekly meetings, and to the members at the Annual General Meeting (AGM). In addition, the treasurer handles all reimbursements and cheque/float/money order requisitions with complete documentation. The major deadline for the treasurer arrives in late March when a club budget for the upcoming year must be submitted to the AMS. The treasurer also helps compile the club's fundraising proposal, and discusses with council members ways to refine lists of expenses that will be included in the proposal. Lastly, the treasurer acts as the
liaison between the AMS Administration Office and the council, specifically in regards to financial matters.
CAPSI Secretary
The secretary's role on CAPSI council includes taking minutes for the weekly CAPSI council meetings. The minutes are generally e-mailed to the rest of the council members a few days before the next council meeting to allow members to suggest amendments before the minutes are adopted. In addition, the secretary is responsible for organizing the first-year representative election in September as well as the council election in January. Finally, the majority of room bookings for CAPSI events are taken care of and done through the secretary. The secretary is required to be well aware of all the activities that are being planned and organized at the local level because she will be required to report on these events at the monthly Interclub meetings.
International Pharmaceutical Student Federation (IPSF) representative
The International Pharmaceutical Student Federation (IPSF) representative is responsible
for the Student Exchange Program (SEP) at the local level and implementing other programs such as the AIDS Awareness Program, or TB Awareness Month that are parts of IPSF's effort in bringing awareness to the profession of pharmacy.
The Student Exchange Program places pharmacy students around the world (over 40 countries) for 1 to 3 months. The IFSF representative is responsible for promoting the exchange and helping students with the registration process
Each month, there is a different health topic that IPSF as an organization wants to bring awareness to, and it is the responsibility of the IPSF Representative to implement these topics in a creative manner at UBC. This could mean inviting experts in the field to come in a give a workshop or have a panel discussion to bring awareness to the students about the topic.
CAPSI Fundraiser
The main responsibility of the CAPSI Fundraiser is to raise money for local UBC CAPSI budget. Each year CAPSI puts on many activities to help develop student professionalism and help educate the community, and a lot of money is needed to ensure those events run smoothly. The fundraiser may do as many fundraising events on top of the existing annual ones as she/he pleases. The existing annual fundraising events include: Welcome Back Dance in September, Christmas Stocking Sale in December and Valentine Dance in February. The fundraiser is also expected to assist the PDW Fundraiser to raise money for PDW travel subsidization. Most of the work is done during the school year, but in order to minimize the "craziness" that occurs in September, it is recommended that the preparation and organization for the Welcome Back Dance be completed over the summer. The term runs from January to January, and at the end of the term, the Fundraiser is requested to update the portfolio that is given to him/her at the beginning of his/her term.
CAPSIL Editor
The CAPSIL Editor will be responsible
for writing articles or requiting students to write articles for our
national CAPSI newsletter (CAPSIL). There are three issues per year
and the CAPSIL Editor will have to submit at least one article per
issue. The CAPSIL Editor will liaise with the national CAPSIL Editor
and be responsible for printing and distributing the CAPSIL amongst
our UBC pharmacy students. The term runs from January to
January, and at the end of the term, the CAPSIL Editor is required
to update the portfolio that is given to him/her at the beginning of
his/her term.
PDW Fundraiser
The main duty of the PDW Fundraiser is to raise money for PDW travel subsidization. The biggest event the PDW Fundraiser will be organizing is the CAPSI Sweet Revenge Desert Fundraiser Event in October. The PDW Fundraiser may choose to as many other fundraising events to help subsidize PDW delegates as he/she wishes. The term runs from January to January, and at the end of the term, PDW Fundraiser is required to update the portfolio that is given to him/her at the beginning of his/her term.
IT Officer/Subscriptions Coordinator
The IT Officer's duty consists of maintaining and developing the website for CAPSI UBC. He/she is responsible maintaining communication with the host provider and make sure that payments are made on time to ensure the website continues to be active.? The IT Officer will receive emails from council members with updates, announcements and pictures that need to be posted on the website promptly. In the busy months of September and January, he/she can expect anywhere from 10-20 emails/week.
1st Year Representative
This position is usually elected in September during CAPSI's mid year report. The position will run from September until January where this position will fail to exist until next September. The First Year Rep is very crucial to the council as he/she will provide a vital link to the incoming first year pharmacy class. He/She will have the important task of communication the numerous activities that occur in September, most of which are directed at the first year class. He/she will also work closely with the Junior Representative to plan and organize the hugely popular CAPSI Jeopardy event that usually occurs in October/November.
2nd Year Representative/Compounding Competition Coordinator
The main duties of the Second Year Representative are to be the liaison between the 2nd year class and the CAPSI Council. He/she will have the challenge of keeping the class updated and excited about all of CAPSI's events as well as organize the most popular CAPSI Competition: The Compounding Competition, which typically occurs in October/November.
3rd Year Representative/Patient Interview Competition Coordinator
The main duties of the Fourth Year Representative are to be the liaison between the 4th year class and the CAPSI Council. He/she will have the challenge of keeping the class updated and excited about all of CAPSI's events.? It must be kept in mind that the 4th year class is divided into 2 cohorts, and innovative means must be used to get the information out there to every classmate. He/she will also be responsible for the planning and organization of both the Over the Counter Product and the Student Literary Challenge competitions which typically take place in October/November.
4th Year Representative/Over the Counter Product and Student Literary Challenge Competition
The main duties of the Fourth Year Representative are to be the liaison between the 4th year class and the CAPSI Council. He/she will have the challenge of keeping the class updated and excited about all of CAPSI's events. It must be kept in mind that the 4th year class is divided into 2 cohorts, and innovative means must be used to get the information out there to every classmate. He/she will also be responsible for the planning and organization of both the Over the Counter Product and the Student Literary Challenge competitions which typically take place in October/November.
Community Education Coordinator
The main responsibility of the Community Education Coordinator is to promote the opportunities for Pharmacy Students to use their knowledge to benefit the community. This is done through various Community Outreach Programs that CAPSI has such as Katyˇ¦s Kid, Tobacco Alert and the new Ratio
Handwashing Program
Katy's Kid is a program in which students visit elementary school students to teach them the basics about medications and the important differences between medication and candy
Tobacco Alert is a program that aims to teach elementary school children about the hazards of smoking
Ration Handwashing Program is a new collaboration between Ratiopharmaceutical and CAPSI that was implemented in January 2006 and aimed at helping elementary school children understand the importance of hand-washing and teaching them the proper techniques in doing so. This is done via a fun video and some hands on activities with the students.
On top of these programs, the Community Outreach Coordinator also has the option of organizing information sessions at high schools to tell students more about pharmacy, the program UBC has and the application process.

Please note that the council members are not limited to the position descriptions above. Those are just the minimal requirements for each position. We welcome new ideas that will invigorate the organization as well as the students. We hope that you will go above and beyond that is stated in the position portfolio and make the position your own while you hold it.
Please note that as a council member, you are expected to attend mandatory weekly Monday meetings from 12-1pm. We also encourage each and every council member to be as involved in all CAPSI events as possible as it will make your time with CAPSI more memorable. |
